Title: Medical Office Administrative Assistant

Position: Full Time, Permanent (37.5 hours/week)

Hours of Work: Monday – Friday, 8:00AM – 4:00PM, In-person

Job Location: Cape Breton Regional Hospital, Sydney, NS

Proposed Start Date: As soon as possible

Salary: Annual salary range of $50,000 - $60,000 – negotiable based on commensurate knowledge and experience.

Benefit Package: Three (3) weeks’ paid vacation, five (5) paid sick days, paid holidays, employer paid medical and dental benefits.

Anchored Recruiting & HR Solutions is delighted to partner with Cardiologist Dr. Paul MacDonald to find a highly organized and independent Medical Office Administrative Assistant to join his team.

Dr. Paul MacDonald is an experienced cardiologist who has cared for patients across Cape Breton for over 25 years. Based at the Cape Breton Regional Hospital, he is dedicated to providing high-quality, patient-centered cardiac care. Alongside his clinical work, Dr. MacDonald is involved in NSHA administration, teaching through Dalhousie University and participating in cardiovascular research. His practice offers a dynamic environment connected to patient care, education, and ongoing advancement in heart health.

In this role, the Medical Office Administrative Assistant will serve as the heart of the cardiologist's clinic. Working closely with Dr. MacDonald, the Assistant will manage scheduling, coordinate patient care activities, and ensure timely communication with patients, healthcare providers, and external partners such as Nova Scotia Health. This position will also play an important role in supporting Dr. MacDonald’s broader responsibilities, including research, teaching, and administrative commitments.

Core Accountabilities:

  • Act as the first point of contact, providing a professional, empathetic, and welcoming environment for all patients and visiting healthcare professionals.
  • Manage and maintain the Cardiologists electronic calendar, including scheduling patient appointments, meetings, and overall office activities.
  • Coordinate and book patient office visits, ensuring efficient use of clinic time and ensuring each patient has a positive and efficient experience.
  • Review and process patient correspondence, including physician letters, and distribute to the appropriate healthcare providers.
  • Monitor and manage incoming office emails, responding or redirecting in a timely and professional manner.
  • Support scheduling processes, including adapting to the upcoming OPOR system integration through Nova Scotia Health.
  • Complete billing tasks accurately and keep records organized and up to date.
  • Answer, screen, and return phone calls, providing professional and courteous communication with all patients and stakeholders.
  • Maintain and update the patient waitlist, based on triage and prioritization directed by the Cardiologist.
  • Coordinate meetings and administrative activities with Nova Scotia Health related to the Cardiologists broader roles.
  • Assist with organizing the Cardiologists research activities, teaching commitments, and associated meetings.
  • Manage incoming and outgoing mail and ensure proper distribution.
  • Assist with other administrative duties as assigned to support the Cardiologist and the overall success of the practice.

Qualifications:

  • Diploma from a recognized medical office administration program or a related field, and/or similar commensurate experience is required.
  • Minimum three (3) years of experience in a similar medical office setting is preferred.
  • Medical terminology certification is preferred.
  • Hands-on experience using electronic medical records (EMR) systems is required; specific experience with Accuro is considered a strong asset.
  • Experience processing physician billing through MSI is considered a strong asset.
  • Previous experience working in a specialized medical practice is considered an asset
  • Exceptional interpersonal skills, with the empathy and patience required to communicate with patients dealing with complex or sensitive cardiac matters.
  • Strong working knowledge of Windows and Microsoft Office programs (Word, Excel, Outlook).
  • Demonstrated ability to utilize technology to streamline workflows, improve data retrieval, and create office efficiencies.
  • Able to perform basic technical troubleshooting for office hardware and software systems.
  • Exceptional punctuality and time management skills, with the ability to adapt to a fast-paced environment with changing clinical priorities.
  • A proven ability to handle highly sensitive medical information with absolute confidentiality and in compliance with health privacy regulations.
  • High level of accuracy in data entry, proofreading medical correspondence, and managing complex scheduling.
  • Able to provide a clear criminal record check.
