Position: Full Time, Permanent
Hours of Work: Monday – Friday, 8:30 AM – 4:30 PM (40
hours/week)
Job Location: In-person, on-site in Sydney, Nova Scotia
Proposed Start Date: As soon as possible
Salary: Annual salary starting at $55,000 – negotiable based
on commensurate knowledge and experience

Reporting to the Financial Advisor, the Senior Administrative Assistant supports the daily office operations and serves as the first point of contact for all clients and visitors. This role is responsible for, but not limited to, coordinating advisor schedules, managing client communications, maintaining accurate records and CRM data, and processing account documentation. The Senior Administrative Assistant also provides other administrative and bookkeeping support, contributing to an efficient office and an exceptional client experience.

Core Accountabilities:
- Serve as the primary point of contact for clients and visitors, managing front desk operations and a multi-line phone system with professionalism and warmth.
- Coordinate advisor calendars, schedule client meetings, and organize meeting logistics to ensure a seamless client experience.
- Provide comprehensive administrative support, including document preparation, proofreading, filing, and general clerical duties to maintain office efficiency.
- Maintain accurate and up-to-date client records, CRM entries, and filing systems, ensuring all documentation is complete and compliant.
- Deliver exceptional client service via phone and email, demonstrating strong communication skills and professional etiquette.
- Process routine account paperwork, including new account openings, transfers, and other administrative requests; liaise with custodians and product providers as required.
- Prepare client correspondence reports and documentation with a high level of accuracy and attention to detail.
- Prepare basic bookkeeping functions, including expense tracking, billing, and related administrative tasks.
- Oversee general office operations, including ordering supplies, coordinating vendors, and maintaining office equipment.
- Support onboarding processes for new clients by collecting required documentation, tracking outstanding items, and preparing welcome packages.
- Assist with internal compliance tracking and document retention requirements.
- Maintain procedure manuals and administrative workflows.
- Perform other administrative duties as required.
- Diploma from a recognized office administration program, or similar commensurate experience is required.
- Minimum of five (5) years of experience in a similar office setting is required.
- Experience working in the financial, banking, and/or investment industry is highly preferred.
- Working knowledge of QuickBooks and basic bookkeeping experience is considered an asset.
- Strong computer skills and working knowledge of Microsoft Office programs (Word, Excel, Outlook), Google Workspace, and data entry systems.
- Experience utilizing office equipment such as telephone systems, printers, and fax machines.
- Fast and eager learner who can adapt to office software quickly and efficiently.
- Able to work independently and manage and execute tasks with minimal instruction.
- Excellent communication (written and oral), interpersonal, and customer-focused skills.
- Able to easily build and foster relationships with clients and staff.
- Exceptional time management skills with the ability to multitask and adapt to changing priorities.
- Exceptional proofreading and attention to detail skills.
- Able to provide a high degree of professionalism in dealing with a diverse group of people.
- Able to maintain a high level of integrity and discretion in handling confidential information.
- Able to provide a clear criminal record check.
- Valid drivers license and reliable vehicle are required.
