Position: Permanent Full Time (35 - 40hrs/week)

Hours of Work: Monday/Tuesday/Thursday/Friday, 8:00AM – 5:00PM; Wednesday, 8:00AM - 7:00PM

Job Location: In-office at 117 Welton Street, Sydney, NS

Proposed Start Date: As soon as possible

As the Front Office Manager, you’ll play a critical role in driving operational excellence and patient quality assurance within the optical clinic. Reporting to the Clinic Manager, the Front Office Manager will lead the front office team to ensure superior service, manage clinic scheduling efficiently, and serve as the key administrator for process improvement, inventory, and essential facility support. You’ll work with a dedicated team that’s passionate about improving lives through vision and eager to help you grow both professionally and personally.

Key Responsibilities:

  • Lead, mentor, and manage the front desk team to foster a collaborative and patient-focused environment.
  • Conduct new-hire training to ensure staff proficiency in clinic protocols, standard operating procedures (SOPs), and service standards.
  • Serve as the primary administrator for the RevEHR electronic health record system, managing user access and optimizing system efficiency.  
  • Act as the RevEHR schedule liaison, meticulously reviewing and optimizing doctor and staff schedules to maximize patient flow and prevent conflicts.
  • Develop and implement process improvements for front-office and clinical operations to enhance efficiency and improve the overall patient experience.
  • Manage the team’s operational scheduling and timekeeping to ensure adequate coverage.
  • Oversee patient care quality assurance, monitoring front-office interactions, and follow-up processes.
  • Manage inventory of therapeutics and clinical products, including monitoring stock levels and liaising with sales representatives.
  • Act as the clinic’s main contact for building and grounds maintenance, coordinating with external vendors.
  • Serve as the primary IT liaison and technical support contact, troubleshooting common equipment and software issues to minimize downtime.
  • Perform other duties as assigned.

Qualifications:

  • A diploma or certificate from a recognized office administration program, and/or similar commensurate experience is required.
  • A minimum of five (5) years’ previous office administration experience, preferably within optometry, medical/clinical, pharmaceutical, physiotherapy, veterinary, or a service industry setting, is required.
  • A minimum of three (3) years’ proven leadership experience is required.
  • Experience working in an optometry clinic is considered an asset.
  • Experience using electronic medical records or similar clinical software systems such as RevEHR, is considered an asset.
  • Exceptional leadership and team-building skills, with the ability to motivate, train, and manage front office staff.
  • Exemplary customer service skills (high degree of diplomacy, tact, discretion, and good judgement), and ability to handle confidential information.
  • Strong organizational and time-management skills, with a capacity to handle multiple priorities and meet deadlines in a fast-paced environment.
  • High degree of accountability, attention to detail, integrity, consistency, and follow-through.
  • Fast and adaptable learner who thrives in a fast-paced, forward-thinking clinic.
  • Tech-savvy with a strong working knowledge of Google Drive and Google Docs, and excellent problem-solving skills when troubleshooting technology.
  • Able to provide a clear criminal record check and follow all health and safety protocols.
