Hours of Work: Monday/Tuesday/Thursday/Friday,
8:00AM – 5:00PM; Wednesday, 8:00AM - 7:00PM

Sydney, NS
Proposed Start Date: As soon as possible
Compensation Package: Annual salary range of $37,440

Island Eyecare is seeking a highly organized and detail-oriented Administrative Assistant to be the backbone of their optical operations. This job is all about managing the glasses, contact lenses, and supplies from the moment they arrive at the clinic to the moment they are picked up by the patient. Reporting to the Clinic Manager, this critical, hands-on role is responsible for, but not limited to, receiving, stocking, and shipping all orders and making sure the frame display areas are clean, organized, and looking great.

Key Responsibilities:
- Provide accurate order status updates to patients and facilitate a smooth hand-off to the dispensing team.
- Perform clerical duties, including maintaining the shipped list and organizing patient order trays.
- Execute timely and accurate data entry of all orders, inventory changes, pricing, and patient information into the Electronic Health Record (EHR).
- Manage the full inventory lifecycle for all optical and clinical products (contact lenses, frames, supplies, and lenses), including receiving, stocking, and processing returns.
- Accurately prepare, package, and ship all patient orders and vendor returns in a timely manner.
- Ensure inventory accuracy by processing job notifications and managing the organized flow of orders.
- Assist with frame display and merchandising, ensuring frame boards are consistently filled, organized, clean, and appealing.
- Develop a foundational knowledge of lens and frame products to effectively support the optical dispensing team.
- Perform other duties as assigned.
Qualifications:
- A diploma or certificate from a recognized office administration program, and/or similar commensurate experience are required.
- Experience working in the optometric field or sector is considered a significant asset.
- Working knowledge of using Google Drive, Google Docs, electronic medical records, and accounting software is preferred but not required.
- Experience utilizing office equipment such as telephone systems, switchboards, printers, and fax machines is considered an asset.
- Fast and eager learner who can adapt to office software systems and new technology quickly and efficiently.
- Exceptional communication (written and oral), interpersonal, and customer-focused skills.
- Exceptional time-management skills with the ability to multitask.
- Strong organizational and attention to detail skills.
- Able to work under pressure in a fast-paced environment.
- Flexible and reliable team player, with the ability to work independently.
- Able to provide a high degree of professionalism in dealing with a diverse group of people.
- Able to maintain a high level of integrity and discretion in handling confidential information.
- Able to provide a clear criminal record check.
